NIKA ("NIKA", "we", "us", or "our") is a career relationship management application operated by Askar Azimbai. This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and the rights you have over your data.

By creating an account or connecting your email, you agree to the practices described in this policy.


1. Who we are

NIKA is operated by Askar Azimbai as an individual ("the operator"). For the purposes of applicable data protection law (including the UK GDPR and EU GDPR), the operator is the data controller responsible for your personal data.

2. What data we collect

2.1 Information you provide directly

  • Account information: your email address and password (passwords are stored only as a secure hash, never in plain text). If you sign in with Google, we receive your name, email, and profile avatar from Google.
  • Profile information: your name, school or university, programme of study, graduation year, target sectors and locations, international/student status, and user type.
  • Network contacts: information about professional contacts you add — names, email addresses, phone numbers, companies, job titles, LinkedIn URLs, notes, follow-up dates, and related relationship details. Some of this is information about other people that you choose to store.
  • Applications and opportunities: companies, roles, statuses, dates, notes, and sources for positions you are tracking.
  • Calendar entries: titles, descriptions, times, and event types you create within NIKA.
  • Files you upload: documents you attach to contacts, such as CVs or business cards.
  • Voice notes: audio you record in the app for transcription.

2.2 Information from connected email and calendar accounts

If you connect Gmail, Google Calendar, or Outlook, we access:

  • Email metadata and content related to your career activity: subject lines, sender information, timestamps, and message content necessary to identify and classify career-related emails (such as application confirmations, recruiter messages, and interview invitations).
  • Calendar events relevant to interviews, deadlines, and follow-ups.

We only process career-related emails. We do not read or store the full content of personal, unrelated emails. We store short snippets and metadata needed for classification and tracking — not complete copies of your inbox.

We never send emails on your behalf.

2.3 Authentication tokens

When you connect Gmail or Outlook, we store OAuth access and refresh tokens that allow NIKA to sync your career emails. These tokens are encrypted at rest. You can disconnect at any time from your Profile, which revokes NIKA's access.


3. How we use your data

We use your data to:

  • Provide the core service: tracking applications, organising contacts, and surfacing follow-ups
  • Automatically classify and sync career-related emails and calendar events
  • Generate AI-powered coaching, summaries, and draft suggestions based on your pipeline
  • Transcribe voice notes you record
  • Display your statistics (application counts, response rates, interviews)
  • Maintain the security and integrity of your account

We do not sell your personal data. We do not use your data for advertising.


4. Google API Services — Limited Use disclosure

NIKA's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only request access to the Gmail and Google Calendar data needed to provide NIKA's career-tracking features.
  • We do not use Google user data for advertising.
  • We do not transfer or sell Google user data to third parties except as necessary to provide the service, comply with law, or as part of a merger or acquisition.
  • We do not allow humans to read your Google data unless we have your specific consent, it is necessary for security or to comply with law, or the data has been aggregated and anonymised.
  • Limited Gmail and Calendar data is shared only with the sub-processors listed below, solely to provide NIKA's features.

5. Who we share data with (sub-processors)

We share data only with service providers who help us operate NIKA. These are:

  • Lovable Cloud — our backend platform, providing managed database, authentication, and file storage. Your data is stored here.
  • Google — for Gmail and Google Calendar integration (when you connect those accounts).
  • Microsoft — for Outlook integration (when you connect that account).
  • Groq — for voice-note transcription. When you record a voice note, the audio is sent to Groq's speech-to-text service.
  • Lovable AI Gateway — to generate AI Coach responses and to classify emails.

Each of these processes data only to provide their specific function. We do not share your data with any party for their own marketing purposes.


6. How your data is protected

  • All user data tables are protected by Row-Level Security, meaning your records are accessible only to your authenticated account.
  • Email and calendar OAuth tokens are encrypted at rest.
  • Passwords are stored only as secure hashes.
  • File attachments are stored in private storage, accessible only to you.

No system is perfectly secure, but we take reasonable technical measures to protect your information.


7. Data retention

We retain your data for as long as your account is active. If you delete your account, we delete your personal data from our active systems, subject to any legal retention obligations. You can disconnect email/calendar integrations at any time, which revokes access and stops further syncing.


8. Your rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete your data ("right to erasure")
  • Export your data in a portable format
  • Withdraw consent for email/calendar access at any time
  • Object to or restrict certain processing

To exercise any of these rights, contact info@usenika.com. You can delete most of your data directly within the app, and disconnect integrations from your Profile.

If you are in the UK or EU and believe we have not handled your data properly, you have the right to lodge a complaint with your local data protection authority (in the UK, the Information Commissioner's Office).


9. International data transfers

NIKA's service providers may process data in countries outside your own. Where data is transferred internationally, we rely on the safeguards offered by those providers. By using NIKA, you understand that your data may be processed in these locations.


10. Children

NIKA is not intended for anyone under 16. We do not knowingly collect data from children. If you believe a child has provided us data, contact info@usenika.com and we will delete it.


11. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the latest version. Significant changes will be communicated within the app or by email.
